Digital Finance Transformation: Don't Build from the Roof Down!
20 years of ERP implementation have taught me one thing: SMEs fail at digital transformation not due to a lack of funds, but because of the 'software fixes process' mindset.
After two decades of navigating ERP, SCM systems, and multi-million dollar real estate projects, I’ve observed a paradox in Vietnamese SMEs: The CFO wants digitalization, the Chief Accountant fears change, and the CEO just wants to see beautiful reports instantly.
Digital transformation in finance isn’t about buying new accounting software. It’s a revolution in data governance mindset.
1. The “Magic Software” Trap
Many business owners ask me: “Tuong, which software should I use to stop leakages?”. My answer is always: No software can fix a broken process.
If you feed garbage into a modern system, all you get is “digital garbage” delivered at high speed. Before thinking about Cloud or Big Data, clean up your Chart of Accounts (COA) and standardize your approval workflows.
“Garbage in, garbage out. Don’t expect expensive software to salvage a poor management system.”
2. Tax Accounting vs. Management Accounting
In Vietnam, most SMEs operate strictly under VAS (Vietnam Accounting Standards) but neglect the management aspect. Proper digital transformation must separate these two streams while ensuring consistency.
| Criteria | Legacy Approach | Digitalized Approach |
|---|---|---|
| Data Entry | Manual, fragmented, overlapping | Automated, inherited from SCM & Sales |
| Reporting | 15 days after month-end | Real-time (Live dashboards) |
| Control | Post-audit (Fix after failure) | Pre-audit (Block at the source) |
| Role | Record keeping | Strategic advisor to the CEO |
3. The 3-Step Roadmap for SMEs
To avoid “burning money,” my battle-tested roadmap consists of three phases:
- Standardization: Unify customer, vendor, and SKU codes between the warehouse and accounting. This is the hardest but most crucial step.
- Integration: Finance does not stand alone. It is the endpoint of the goods flow (SCM) and human resources flow (HRM). Data must flow automatically to finance from operational departments.
- Optimization: Once you have clean data, then we talk about optimizing Cash flow and Risk Management.
Final Thoughts from an Insider
Digital transformation is a painful journey. It requires a leader with an iron fist to enforce data discipline across all departments. Don’t be dazzled by flashy interfaces; look for the transparency of every single number in your monthly P&L.
If you are still struggling with fragmented Excel sheets, it might be time for a system architect rather than just a data entry clerk.
