SCM & E-commerce: Stop Letting 'Ghost Orders' Kill Your Cash Flow

Hard-earned lessons on integrating supply chain systems with e-commerce platforms in the Vietnamese market.

SCM & E-commerce: Stop Letting 'Ghost Orders' Kill Your Cash Flow

Day 47: When SCM Fails to Catch the Click

After 20 years of battling large-scale ERP and SCM systems, I’ve realized a harsh truth: Many businesses operate E-commerce as an isolated island. They celebrate thousands of orders on Shopee or TikTok Shop while managing inventory with manual spreadsheets.

The result? Inventory discrepancies, cancelled orders due to “ghost stock,” and most importantly: Cash flow trapped in uncontrolled dead stock.

“In management, the information gap between the point of sale and the warehouse is the largest hole through which profits evaporate.”

The Battle of Synchronization

In the Vietnamese market, especially during Mega Sale events (11.11, 12.12), if your SCM system doesn’t automatically push inventory levels to platforms in real-time, you are playing a dangerous game.

Inside info: I once witnessed a household appliance distributor lose 2 billion VND in penalties and shop ratings overnight because their physical warehouse couldn’t notify the platform fast enough that they were out of stock. That is a costly lesson in the lack of System Integration.

Management Mindset: From SCM to Personal Finance

As someone expanding into Real Estate and Insurance, I view SCM as more than just warehousing. It is Optimization.

  1. Freeing up Capital: When SCM is accurate, you reduce Safety Stock. That money doesn’t sit dead in a warehouse; it can be rotated into investment channels like cash-flow Real Estate.
  2. Risk Management: System integration helps you spot risks early. Ghost orders, high return rates, or stagnant capital are flagged immediately.

Advice for Businesses

Stop pouring money into Marketing if your system’s foundation is shaky. Prioritize API connectivity between E-commerce platforms and your ERP/SCM software.

If you are still copy-pasting tracking numbers from a platform into an Excel file, you are not a business owner; you are a slave to an obsolete process.

Conclusion: Digital transformation in SCM is not a trend; it is a survival requirement to protect your cash flow.
